Job Summary

Our client is looking for an Programme Executive to join their team in London

Programme Executive will be responsible for offering support to the Head of Careers and Student services and the Careers Services Manager of the school to enable the efficient and smooth running of the Careers Office and support with the services offered to all students.

Programme Executive Key Duties:

  • Maintain student personal and academic status information as required and updating databases
  • Deal with student concerns and problems, referring them to the appropriate person where necessary
  • Prepare and update of student handbooks, internship handbooks course outlines and other student guides, ensuring that information provided is accurate and that student needs are met
  • Managing the student information management system
  • Ensure local Student representatives are elected for each cohort and briefed following election of their expected responsibilities; organise student representatives’ meetings and taking minutes
  • Organise students’ events, including through ‘collective projects’
  • Organise disciplinary procedures when needed
  • Handle email communication with students
  • Preparation and execution of registration and induction of students
  • In charge of the Timetabling / room booking processes
  • Monitor student attendance
  • Manage student seminars when necessary
  • Support the Course Director and Academic Director for Board of Studies, Course Boards, International Jury meetings, etc producing the requested reports and updating student files for quality reviews and accreditation purposes
  • Liaise with the Course Director and course tutors to organise and deliver examinations, collecting and preparing marks for Examiner Board and release to students
  • Prepare all academic material
  • Handle issues and queries that arise from returned marks
  • Handle the administrative aspects of company placements when appropriate
  • Manage the student information management system, the intranet and eLearning platform
  • Liaise with HR department regarding details of professors ‘contracts
  • Liaise with and welcome guest speakers
  • Validate hours taught by all professors in the contract management platform
  • Support Quality management processes including the co-ordination of the work of external examiners as requested by Director of Programme Administration, Quality, Data and Compliance
  • Liaise with local coordinators to support the Programme Management Team
  • Ensure all stationary is ordered for the start of each new academic year/semester and Raising Purchase Orders
  • The programme executive will also pay attention to pastoral care issues, and report any issues or potential issues to the programme and academic directors.

Skills and Experience:

 

  • University degree
  • Excellent knowledge of the Higher Education landscape in the UK
  • Experience in liaising with academics
  • Experience in interacting with students
  • Communication, both written and oral, in English and French desirable
  • Excellent organisational skills
  • Interpersonal skills
  • Ability to work under pressure to meet deadlines
  • Ability to be proactive and work under own initiative
  • Ability to work as part of a team
  • Intercultural awareness
  • Ability to analyse and collate information
  • Excellent IT skills (including the Microsoft Office suite)
